In pulling myself back together as the dust settles, I realized I needed to do something a bit more to keep my beta-reading projects organized, and I thought I’d share that process with you all for inspiration.

It’s important to know that I am a spreadsheet nerd. I used to be an Excel only sorta girl, but Google Sheets and I had a torrid love affair about four years ago and now I visit Excel once in a blue moon when I’m feeling nostalgic (or need to make something that looks pretty printed, which Google Sheets struggles with). So, this might look a little intimidating, because I’ve got some bells and whistles in it. But the important thing here isn’t how fancy my spreadsheet is, but instead what information I think is important to hold on to for different projects.

Okay, enough talking around it, jump under the cut to see the spreadsheet I have made to track my beta-reading projects...

In interest of complete transparency, there is a third tab that feeds my data validation drop down lists and index-matches and vlookups. If that sentence made zero sense to you—all you need to know is that I did not hand type in all the data above. I selected names and had a lot of info autofill for me. Anyway! The columns in Complete Beta Projects are pretty self-explanatory.

The Title of the story includes the link so I can reference it easily.

The Author’s Ao3 name is there for me to remember how to refer to them when discussing their work.

Then we have Posting Date, Final Word Count, Chapter Count, a column specifically to make sure I added it to the Beta-Read by HK collection, and then three notes columns which we’ll get into below.

Active Projects is a little more intense.

First off, the first four rows (highlighted in purple) are for me to track the WIPs I’m currently feeding, especially the ones that are being beta-read. The first one, Bleeting Hearts, is the Goat AU that the lovely @ambrasue is beta-reading for me. Having these rows in for my projects not only helps remind me to set aside time for my own writing when looking at my to-do list, but also helps me know where my own stories are in their beta-reading process. Yes, even the beta-reader needs beta-readers.

But when we get to the columns, we see some differences from the Complete Tab. I have scrubbed some data out of respect for my writers, but let’s break this down.

Title is often a working title from the writer, or a title that’s entirely of my own making that helps me remember what the fic is about. If a story is being posted while also being actively beta-read/written, the title will be the real title with an Ao3 link.

Next, I’ve got the Author’s Discord handle, which is where I do my chatting with folks. This is often not the same as their Ao3 so this is really important for me to be able to find folks.

Last Check-In Date is the last time we had a meaningful conversation about the story. Meaningful is the important part here. I am a chatter box, and so are plenty of my writers. I will absolutely go “Oh I spoke to so-and-so yesterday, we’re good” but what we talked about was our favorite flowers, which has nothing to do with the story, and they’re quietly waiting for me to read a chapter and get some thoughts back to them. If that date gets too far back, I’ll check in just to make sure I didn’t miss an update somewhere.

Current Word Count & Planned Length are less important for me to keep 100% accurate 100% of the time, but helps me determine my bandwidth for other projects as requests come in. As you can see, I am pretty tapped out right now.

Status, however, is very important for me to keep updated. One project is “To be reviewed” which is what I am doing today after this post goes up, two Projects are “Back to Writer” which means I recently completed work on them and am waiting on the writer to make their next move, one project is “On Hold” which is…what it says on the tin. The writer isn’t writing it, but neither one of us have abandoned it completely. And many of them are “Not Started” which means I have not started my work at all.

“Back to Writer” and “Not Started” in this sense could probably be used interchangeably. All of those Not Started’s aren’t really to-do’s for me, and are more “I’m waiting for the Writer to give me something” And we can see that nuance in Story Notes but before we get there the next column is…

Doc Link is just that. I have a hidden column so that if something has more than one link, I can just pop that open and am good to go, but the Link is a link to usually a Google Doc, or a Google Folder, for that story. If an author sends more than one Docs but doesn’t send me a Folder, I’ll create a folder to organize it all in. The “My Drive Folder” is an example of that. If the link is not the story, I’ll make sure the link says what it is—I’ve got a story playlist and an outline in this example.

Now to the Story Notes column! For the work I need to review, I’ve got where each part stands and what I need to do. For things that have been sent back to the writer I’ve got what I just finished. And for everything else I’ve got some general notes to let me know where the writer is, what’s going on with the story, etc. This is where I’ll also put notes about the plot if I need, or if it’s a gift exchange fic. Also, if it’s being posted while we are also working on it, I’ll put the posting days, etc.

Writer Notes are where we really start to get into information that is VERY important when you’re working on multiple projects with multiple people. I haven’t actually entered Writer notes into this sheet yet because I knew I’d be sharing screenshots, but I’ll put really important notes for my relationship with the writer here. Things like “their cousin’s dog’s brother just passed—give them some space” or “they mentioned a wedding! Don’t forget to ask about how it went!” I lurk in most Discord servers, so if someone has requested a beta-read and aren’t active in the servers I’m most active in, I’ll note which server to find them as more active participants in. Anything I need to keep track of to make sure I am providing the best support to the writer and the story goes here. If it’s my first time with a writer I’ll put all notes I want to remember about them here and then after we complete a project, I’ll select from those notes what needs to follow them which brings us to the next columns…

Pronouns and Follow Notes are really important for me as a human. Pronouns are so that if I’m boosting someone’s story that they just posted I don’t flipping misgender them like a jerk face in a post that’s supposed to be celebrating their story.

Follow Notes are notes that follow a writer from project to project. For the most part these are things that help me provide support. For example, if English is not their first language, I might put what their native language is in these notes because it helps me remember which grammar rules don’t translate well. If they’ve shared a name other than their handles, I’ll put that there, so I call them by their name! If we have a shared fandom outside of Good Omens (the only fandom I’m actively taking things on for right now with the except of FTH things), I might put that there just to remember. Or to offer to beta for that fandom for them.

Follow Notes can also be good for me to help protect my boundaries. If, heaven-forbid, I have a really hard time working with a writer, I may put a small note to myself about where/why we didn’t mesh. That way in the future maybe I only take smaller works for them, or I try to find better ways to work around that problem point with them. Otherwise, if it was just a horror story experience (which I have zero of), I might put a note like “Don’t beta-read for this person again” as a reminder to myself. This way if they do reach out again for another read, I can have a polite conversation about it and say no. It is always better to say no, as opposed to saying yes and then getting mean and nasty in bitterness later.

Good news, if you’re seeing yourself on this list and panicking, I promise the writer notes and follow notes are more along the “first language is ____”, “ask for more pictures of animals”, and so on.

This spreadsheet system is still fairly new for me, but you can see I’ve got a lot of things I’m working on right now, and several of them are quite big. So, it’s really important for me to keep it all aligned. I’m hoping this will help me help my writers more, and it will keep me from going “I’m so sorry but…where…were we again? Are you waiting on me?”

It will also hopefully keep me from suddenly having three projects all needing 50k words read all at once because I’ll actually keep up with it.

"Make yourself comfortable" you said locking the door behind him.

Taking your phone out, you connected your phone to your Google Home Mini and let your playlist echo throughout the room. "It's been a minute since I've been here" Adonis said taking a seat on the couch. "Looks like you got a good memory" you said. "I'm gonna get out of these jeans, can you give me a minute?" you asked. "Sure, don't go to sleep back there" Adonis joked. You walked to your bedroom and pulled out your favorite grey pair of cotton joggers and the matching long sleeve crop top to match. Quickly getting dressed you threw your clothes in the hamper and walked into the living-room to sit on the couch next to Adonis.

"Comfortable?" he asked. "Much better" you replied. Adonis moved closer to you on the couch, and noticed your stand-offish demeanor. "Too close?" he asked. "It's just a little awkward for me D." you sighed. "I'm just not in a good place right now when it comes to, you know who" you said looking around. "And what did I tell you?" Adonis asked lifting your chin. "And you asked if you were too close, and I explained why Donnie" you say moving away from him. "Look I'm home now, so if you want to leave due to my honesty that's okay with me; but I'm not gonna hold back how I feel right now" you admit. Adonis chuckled, "I hear you talking. You don't scare me at all Hazel. All this backbone shit you got going on, you need to use this on Erik. I'm not here for all that. I just didn't want you going home in an Uber aight?" Adonis replied. "And you're free to leave. Mission accomplished." You got up from the couch and walked into the kitchen to grab a glass and your bottle of Hennessy.

Adonis followed you into the kitchen, "Like I said you don't scare me. What you got going on in here?" he said taking the bottle. "Just something to put me to bed for the night" you say casually grabbing a second glass. "Go ahead and pour me a glass, you owe me remember" he smirked. You poured two small glasses of Hennessy on ice and walk back into the living-room to sit on the couch as you enjoyed the music playing.

"Change this shit, you in your feelings. We get it, you can't stop thinking about Erik" Adonis commanded.

Leaning over to grab your phone from the table, you skipped to the next song.
